The activity calendar

A griffie plans more than council meetings. Committees, the college, work visits, information evenings and the joint arrangements the council sits in all land in one calendar. This page shows how to say who each kind of meeting is for, how to filter the calendar on it, and how to put a public meeting on the calendar residents read in the portal.

Say who a kind of meeting is for

Every kind of meeting carries its audiences. There are five: council, executive, joint arrangement, residents and staff.

  1. Open the settings menu and choose Meeting types.
  2. Open a type, for example "Informatieavond".
  3. Tick the audiences it is for, for example residents and council, and save.

The audience belongs to the kind of meeting, not to each sitting. A committee meeting is for the same people every time, so you set it once.

Filter the calendar

Open Meetings and switch to the calendar view. Two filters sit above the grid:

  • Audience shows only meetings whose type lists that audience. Choose No audience set to find meetings whose type has no audience yet, or that still use the old meeting type list. They never drop out of sight.
  • Body shows only the meetings of one body.

The filters are kept in the page address. Copy the address to share a filtered calendar with a colleague, or bookmark it.

The calendar asks the server for the weeks on screen only, so a register with years of meetings still opens quickly on the right month.

Put a public meeting on the residents' calendar

A meeting marked public can go on the residents' calendar, with or without a formal agenda. That is what an information evening needs.

  1. Open the meeting and go to its Publication tab.
  2. Under Public calendar, press Publish to the public calendar.

Residents then see the title, the body, the date, the kind of meeting, the place and the audiences. Nothing else leaves the register: no participants, no names, no agenda items. Withdraw the entry from the same tab when the meeting is called off.

A meeting that is not public is refused. Publishing the agenda later still works as before and adds the agenda items as a separate entry.

When portaliq is installed, the entries appear on the portal's Council calendar page, readable without an account.
